Invite your team
Send email invitations so your team can sign in, see their schedule, and get reminders.
People in Church Planner come in two forms: contacts (everyone in your church list) and users (contacts who can sign in). You invite someone by creating a user for their contact. If the difference is new to you, read Contacts vs user accounts first.
Requires the Manage users and roles permission.
Send an invitation
- Open Settings, then Users, and click Add User.
- Pick the person's existing contact, or tick Create a new contact for this user and enter their first and last name.
- Enter their email address.
- Choose their roles. Roles decide what they can see and do; Member is a good default for volunteers. See Roles and permissions.
- Click save. Church Planner emails them an invitation link.
The person clicks the link, sets a password (or signs in with Google), and their account is connected to your church.
If the invitation expires or gets lost
Open the user in Settings, then Users, and click Resend invitation. Invitation links expire for security, so a fresh one is sent each time.
Why invitations matter for reminders
Reminders only go to volunteers who created and confirmed a Church Planner account, so nobody is messaged without agreeing to it. If a volunteer is not getting reminders, the first thing to check is whether they accepted their invitation. See Reminders.
